Site Rules
All facilities are offered subject to availability.
Hot desking
At the Meeting Point, we operate a clear desk policy for hot desking. As such, hirers are required to remove their equipment and paperwork at the end of each hire period. It is also the hirers responsibility to make sure their desk is left completely clean after use. Material and equipment left at these areas is at the user’s risk and may be disposed of.
Fixed desks
At the Meeting Point, we operate a clear desk policy for desk hire. Each fixed desk comes with a locker and it is the hirers responsibility to make sure equipment and paperwork are removed at the end of their working day and stored securely in their locker or removed from the premises. It is also the hirers responsibility to make sure their desk is left completely clean after use.
Private offices (Grow up spaces)
Our private office spaces are lockable and equipment and paperwork can be left when not in use. All equipment and material left by the licensee in these offices will be at the licensee’s risk and the Council accepts no responsibility for any loss or theft.
Meeting Room
Our meeting room is available on a first come first served basis and should be pre-booked at reception or online via the Meeting Point website. It is the responsibility of users to make sure it is left in a clean and tidy condition after each hire period. Hot beverages and additional catering can be supplied for an additional charge.
Workstations
It is the responsibility of each User to ensure workstations and equipment are set by them to ensure comfort, good posture and to avoid glare and reflections on the screen. Sevenoaks District Council take no responsibility for these actions not being adhered to and from any injury suffered as a result.
Guests and Visitors
All guests and visitors must be signed in at reception upon arrival and signed out when leaving. Users are fully responsible for their guests and visitors when on site.
Telephone
The Meeting Point does not provide telephones or lines for hirers, except for those occupying our private office spaces. Hirers are asked to show respect to other hirers when using mobiles or laptop headsets.
Printing
Use of the printing facilities is subject to fair and reasonable use of those facilities.
Internet
All usage of the internet access provided is subject to the agreement with the wifi terms of service.
Lounge Area
Users of the lounge area shall have respect to other users of Meeting Point and not cause unreasonable disruption (including noise or odour or other disruption).
Users must ensure that the lounge area is left in the condition it is found in.
Lockers
Subject to priority use by users of Private Offices and Fixed Desks, all lockers are provided on a first-come-first-served basis.
Lockers used by casual hub users shall be cleared of all possessions at the end of each week. Lockers used by fixed desk users may use lockers for the length of their hire period. Items will usually be retained for one week for collection. We reserve a right to dispose of any objects not collected within that period.
Nothing shall be left in the lockers which may be or become a nuisance or security risk to other users or to us.
All items left in lockers are left at the owner’s risk.
Kitchen and kitchenette
The Meeting Point has a kitchen for food preparation and a kitchenette for making drinks. Across these two areas, our facilities include a microwave, kettle, Quooker tap, fridge, and freezer. Users must ensure that each area equipment, and all cutlery & crockery is always left completely clean, tidy, and put away after use. Items left in the fridge/freezer must be cleared/removed at the end of each working day. Management reserves the right to dispose of items left in the fridges/freezers at closing time.
Showers
Users must ensure showers are left in the condition they are found in. Towels are not provided. Users must not leave towels, toiletries, or clothing on site.
Car and cycle parking
The Meeting Point has one disabled access only parking space at the rear of the premises. This should be pre-booked with reception and parking is only available when using the business hub. The Meeting Point is located within a short distance from a public car park on Park Road.
Subject to availability we also have free cycle parking at the rear of the premises.
Access
Regular hirers will be issued with a programmed fob to gain access to the premises. The fob must be returned to the Meeting Point at the end of the hire period. The fob will be subject to a non-refundable deposit of £10.
Casual users will only have access to the premises between 9am and 5pm daily.
Security
The last person leaving the building at night is responsible for making sure all windows are closed, all lights are switched off and the alarm set.
User
We reserve the right to refuse access or use of any or all of the facilities to any person if in its absolute discretion it considers them unsuitable.
It is against the terms and conditions to re-let the desk space to another person.
Behaviour
In the unlikely event that a member causes a nuisance or distress to any other user or staff member of the hub or council, the decision of the hub manager or delegated person is final and the customer or their visitor may have their agreement terminated without reimbursement of fees (subject to any additional conditions in their respective terms).
Smoking/Vaping
No smoking or vaping is permitted on the premises or the communal garden.
Children
Children under 16 are not permitted on site.
Pets
No pets are permitted on site. Only assistance dogs within the meaning of the Equality Act 2010 shall be permitted.
Liability
In accordance with any hire or licence agreement, Sevenoaks District Council accepts no liability for the equipment, paperwork, vehicles, or other possessions of the hirers. Similarly, no liability is admitted for consequential loss should any event happen which renders the Hub or any of its facilities un-useable.
Regulations
All users of Meeting Point are required to comply with these Site Rules which are put into place for the good management of The Meeting Point.
Review of Terms & Conditions
All users of the site accept that the Site Rules might be updated from time to time and at all times will accept and accord with the latest version issued.
Permanence
For the benefit of clarity all users are to be aware that they have no security of tenure.
